Overview

Nextiva vFAX is the standalone online fax product from Nextiva, an established U.S. business communications provider best known for its VoIP phone platform. Where competitors position themselves around apps or document workflows, vFAX’s pitch is simpler: a lot of fax pages for not much money, from a company that businesses already know.

Nextiva offers two standard plans — Essential with 500 pages per month and Professional with 1,000 pages per month — plus a separate, contact-sales tier that Nextiva describes as “HIPAA-compliant virtual fax.” Essential costs $9.95 per month on month-to-month billing, or $7.95 per month billed annually. That 500-page entry allowance is one of the largest in our lineup at this price.

Sending and Receiving Faxes

According to Nextiva’s documentation, vFAX supports faxing through three paths: the web portal (fax.nextiva.com), an email address of your choosing (email-to-fax), and — for offices that keep hardware around — a traditional fax machine connected through Nextiva’s Fax Bridge device. Incoming faxes can be delivered straight to your email inbox, and the portal is accessible from a computer, tablet, or phone browser.

There is no dedicated vFAX mobile app; mobile use runs through the browser. Nextiva states that transmissions are protected with 256-bit SSL encryption.

Features and Compliance

vFAX is deliberately lean. It covers the core loop — send, receive, store, route — without the extras some rivals bundle: there is no built-in e-signature tool, and Nextiva’s vFAX materials do not advertise a public fax API for developers on the standard plans (we’re confirming that last point with Nextiva). What Nextiva’s own support materials do confirm: you can port your existing fax number to vFAX, and toll-free fax numbers are available. International faxing is not offered on the standard plans per Nextiva’s current documentation.

On compliance: the standard Essential and Professional tiers are not HIPAA-compliant, and our comparison table marks vFAX accordingly. Nextiva does offer a dedicated “HIPAA-compliant virtual fax” plan through its sales team. Healthcare and other regulated teams should budget for that conversation rather than assuming the entry plans are covered — the same caution we apply to Fax.Plus, where HIPAA also lives on a higher tier.

Pricing

Essential runs $9.95/month month-to-month for 500 pages, or $7.95/month when billed annually — the figure Nextiva’s pricing cards lead with. Professional is advertised at $13.95/month with annual billing for 1,000 pages; its month-to-month rate is higher at checkout, and we’re confirming the exact figure with Nextiva before publishing it in our comparison data. The same goes for overage pricing: Nextiva’s own wording (“$0.03 cents per page”) is ambiguous enough that we won’t repeat a per-page number until the charged amount is confirmed. Trial availability is similarly unsettled — some current Nextiva materials advertise a 30-day free trial for its fax product while the checkout pages we examined show none, so we treat a trial as unverified rather than promising one.

Who Should Choose Nextiva vFAX?

Choose vFAX if you want high fax volume at a low advertised price from an established business brand, and you don’t need a polished app or extras like e-signatures. Reviewers have described the interface as dated (Tom’s Guide), and this is faxing without frills — but for a small business pushing hundreds of pages a month through email and a web portal, the value case is strong. Regulated teams should ask Nextiva about the dedicated HIPAA plan first.
