Nextiva vFAX Review

Overview — vFAX or “Digital Fax”?

Nextiva vFAX is the standalone online fax product from Nextiva, a U.S. business communications company whose voice plans also include the fax service. One naming note before anything else: a current Nextiva article calls the product Nextiva Digital Fax — its images even label it “Nextiva Digital Fax (formerly vFAX)” — while the product, pricing, and support surfaces (including the vfax.nextiva.com portal) still say vFAX. Same product, mid-rebrand; we keep vFAX as the primary name until Nextiva’s product pages switch over (naming verified against Nextiva’s current online-faxing article, September 4, 2026).

The pitch itself is unchanged: a lot of fax pages for not much money. Nextiva offers two standard plans — Essential with 500 pages per month and Professional with 1,000 — plus a separate, contact-sales tier that Nextiva describes as “HIPAA-compliant virtual fax.” Essential costs $9.95 per month on month-to-month billing, or $7.95 per month billed annually. One important detail the plan cards footnote: your page allowance is a single pool shared between sending and receiving — 500 pages means 500 pages of combined traffic, not 500 each way.

What Is a Virtual Fax Number, and How Does Nextiva’s Work?

A virtual fax number is an ordinary fax number — local or toll-free — that terminates at Nextiva’s servers instead of a phone line in your office. Per Nextiva’s documentation: when you sign up, you either pick a new toll-free or local number, or port your existing fax number in so senders notice nothing. People sending to you dial that number from any fax machine or fax service, exactly as they always have. Incoming faxes are converted and delivered to your email inbox and the vFAX portal (fax.nextiva.com), where Nextiva stores faxes for up to 180 days — after six months, fax data is purged, so download anything you need to keep.

Sending and Receiving Faxes

According to Nextiva’s documentation, vFAX supports faxing through three paths: the web portal, email-to-fax, and — for offices that keep hardware around — a traditional fax machine connected through Nextiva’s Fax Bridge device. Email-to-fax works only from the primary email registered to the fax account, addressed to 1 + the ten-digit destination number @nextivafax.com (details in our email-to-fax guide); attachments are capped at ten per fax, about 2 MB each recommended. There is no dedicated vFAX mobile app; mobile use runs through the browser or email. Nextiva states that transmissions are protected with 256-bit SSL encryption.

The HIPAA plan is the exception to all email faxing: per Nextiva’s own vFAX guide, HIPAA vFAX users cannot send faxes via email or receive faxes as email attachments — they get notification emails and must log in to the portal to view each fax. If your compliance plan assumes email delivery, it’s assuming the wrong Nextiva product.

Features and Compliance

vFAX is deliberately lean. It covers the core loop — send, receive, store, route — without the extras some rivals bundle: on the official surfaces we reviewed (the pricing selector, support articles, online-faxing article, and vFAX guide, September 4, 2026), Nextiva advertises no built-in e-signature tool and no public fax API for the standard plans. What Nextiva’s own support materials do confirm: you can port your existing fax number to vFAX, and toll-free fax numbers are available. International faxing is not offered — “Nextiva does not support faxing to international numbers” appears on its support surfaces.

On compliance: the standard Essential and Professional tiers are not HIPAA-compliant, and our comparison table marks vFAX accordingly. Nextiva does offer a dedicated “HIPAA-compliant virtual fax” plan through its sales team — with the portal-only delivery restriction described above. Healthcare and other regulated teams should budget for that conversation rather than assuming the entry plans are covered — the same caution we apply to Fax.Plus, where HIPAA also lives on a higher tier.

Pricing

Essential runs $9.95/month month-to-month for 500 pooled pages, or $7.95/month when billed annually — the figure Nextiva’s pricing cards lead with (re-verified on the live pricing page, September 4, 2026). Professional is advertised at $13.95/month with annual billing for 1,000 pages; the pricing page we reviewed publishes no month-to-month figure for it, so we don’t quote one in our comparison data. The same goes for overage pricing: Nextiva’s own footnote wording (“$0.03 cents per page”) is ambiguous enough that we won’t repeat a per-page number until the charged amount is confirmed. Trial availability is similarly unsettled — some Nextiva materials mention a free trial while the pricing page and checkout we examined show none, so we treat a trial as unverified rather than promising one.

Who Should Choose Nextiva vFAX?

Choose vFAX if you want high fax volume at a low advertised price and don’t need extras like e-signatures, a native app, or international sending. For a small business pushing hundreds of pooled pages a month through email and a web portal, the value case is strong — and if you’re already on Nextiva’s voice platform, the fax product sits in the same family. Regulated teams should ask Nextiva about the dedicated HIPAA plan first, and plan workflows around its portal-only delivery.
